Yorkshire Based Bespoke Software Development Case Study - Absolute Ease - Conveyancing Case Management System
Brief
Gotfocus have developed and supported a suite of Case Management systems for one
of the UK’s leading conveyancing companies.
Management Website
This website enabled Absolute administration team to manage the full lifecycle of
a conveyancing case in a highly automated environment. Users allocated the sale
or purchase case to a recommended panel lawyer predetermined by the system.
Once allocated, the system would automatically generate a welcome letter to the
customer informing them of their unique user credentials for the customer case management
site and the details of the lawyer handling their case. Users could also use the
website to send case notes to either the solicitor or customer.
If the case had not been updated within a period of time it would be flagged to
the users so that they could chase the lawyer if required. The website also displayed
invoice information for completed cases and was fully integrated with the company’s
finance system.
Customer Website
This website gave the customers round the clock access to their case details. Users
could view key milestones of their case and create case messages for the lawyer
dealing with their case.
Solicitor Website
The solicitor website enabled the lawyer to manage the legalities of conveyancing
cases allocated to them. Each case would have key milestones that the lawyer would
need to complete within a timely fashion.
Cases not updated within a system defined time span would be flagged to the lawyer
using a traffic lights system. Lawyers would receive Alerts to their email account
if the case needed progressing and could also add cases notes to communicate with
the customer.
Once the lawyer completed a case an invoice would be automatically generated and
emailed to the lawyer’s firm. The invoice information would be imported into the
conveyancing company’s accounting system.
Reporting
The reporting solution would provide key case management information to the conveyancing
company. The reports were emailed to a defined list of recipients and also added
to a sharepoint system.
Case Management Integration
The case management integration solution enabled case information to be exchanged
between the conveyancing company and the panel lawyers’own case management system.
This would avoid the solicitor having to double key information and therefore increasing
data accuracy. Case Information would be sent/received in XML format using web services
and FTP sites.

Invoice Generation utilises Microsoft Word.
